Description:

Job Purpose:  Co-ordinate and to manage the stores section in accordance with the relevant legislation, policies standard operating procedures and Supply Chain Management Policy of the Breede Valley Municipality.

 

Duties:  •Plan activities of section and allocate duties based on operational requirements and availability of staff and resources • Promote the organizational values of public service, equity, fairness, non-discrimination, respect, accountability and performance. •Ensure that all stock items are always readily available. • Monitor CCTV camera’s constantly. • Manage the storage and stacking of stock to ensure FIFO principles. •Compile and maintain an inventory register on the financial system Respond to audit queries and implement corrective measures. •Authorise requisitions to re-order stock. •Manage and oversee of the formal stock count process.•Monitor usage patterns of stock issued to departments for operational purposes. •Ensure proper maintenance and tracking of office equipment and furniture in order to promote an effective working environment. • Authorise the capturing of fuel issues on the financial system and administer the reconciliation of fuel issues, dip and pump readings. •Provide clarity/ answers to external auditors in relation to all store related queries. •Ensure that user departments are informed well in advance about the commencement date of the stocktake.  •Ensure stock balances reconcile with the physical stock on hand. •Coordinating processes and practices associated with the verification of invoices for completed works submitted by service providers. •Attending to the generation of requisition orders and related departmental issues. •Collate relevant specifications regarding tenders, quotations and formal quotations for section. •Compile evaluation documentation for tenders and RFQs for the section. •Participate in the asset management process by providing information during the annual auction in terms of legislations and policies. •Ensure that enquiries are professionally attended to and the necessary guidance or guidelines in terms of procedures accurately communicated to enable compliance. •Monitoring compliance with the standard operating procedures •Ensure that subordinates’ human resources needs are identified and attended to in order to supervise, support and monitor performance. •Updating and maintaining records, filing transactional documents for audit purposes. •Compiling up to date-records of material safety data sheets (MSDS) for chemicals/reagents.  •Ensure a safe and healthy workspace for all employees.

Requirements:

Minimum Requirements: National Diploma in Finance Management or equivalent NQF level 6 qualification, Computer literate(MS Office), 3 years relevant experience required.

 

Other Requirements: Code B Driver’s license, Good numerical skills, Good interpersonal and communications skills, Good Recordkeeping skills, Must be proficient in at least  two (2) of the three (3) official languages in the Western Cape, Attention to detail.
